HKScan Oyj or any affiliate entity owned or controlled by HKScan Oyj (“HKScan”, “we”, “us”) is the data controller in relation to the processing of your personal data through video devices installed in HKScan’s premises.
On this page, we describe and provide further information on how we will collect and process personal data relating to you through video devices when you visit HKScan’s premises or if you are employed by us and work at one of the premises. Personal data means any information which may be used to identify an individual.
It is important to us that you feel safe with how we handle your personal data. We take measures to ensure that your personal data is protected and that the processing of your personal data is carried out in accordance with applicable data protection regulations and our internal policies and procedures.
“Video devices” means cameras or other video device systems designed to capture and record images or videos of individuals and property.
“Premises” means HKScan’s office premises, production facilities and other premises, including the buildings and related outer areas (e.g. gates, entrance points to the building, and loading docks) of the buildings, where video devices have been installed.

Our premises have video devices which may automatically capture and record photos or videos of you when you visit our premises or if you are working at our premises. This recording may contain your personal data when such pictures or videos can be used to identify you. The video devices installed at our premises may be divided in to two categories: (1) video devices installed at outer areas of buildings and (2) video devices installed inside of buildings.
The video devices installed at outer areas of buildings include video devices capturing parking areas, gates, fence line, building entrance and exit points, loading docks or other delivery areas, as well as other yard areas (“outer area video devices”). The video devices inside of buildings include video devices capturing buildings from the inside, including areas meant for animal transportation, slaughterhouses, production facilities and production lines, as well as entrance and exit points to secure areas, protected rooms or common areas (“inner area video devices”).
It is important to notice that the locations and positioning of video devices are such that they are not intended to cover the surrounding public spaces where our premises end.
Furthermore, please note that we do not use automatic facial recognition or similar technologies in order to uniquely identify you or any other individual, as a result of processing biometric data.
We do not process your personal data through video devices for any other purpose than those specified below. We process your personal data for the following purposes:
If you are working with animal welfare related duties (e.g. animal feeding, animal transportation or slaughterhouse related activities), we may process your personal data through inner area video devices. The processing is conducted for the purposes of ensuring the safety and welfare of animals as well as in order to ensure that proper animal welfare practices and related statutory obligations are complied with.

If your work consists of working on a production line, we may process your personal data through inner area video devices. The processing is conducted for the purposes of ensuring efficiency of production line. By ensuring the efficiency of the production line, we are able to utilize resources in a cost-effective way. In this connection, by monitoring and displaying the production line to you via monitoring screens, we enable you to detect and fix (or correct the immediate condition) abnormalities occurring on the production line.

When you arrive at gates guarding our premises, or when you are at building entrance point, or working at loading docks or in yard area, we may process your personal data through outer area video devices. The processing is conducted for the purposes of protecting our premises against unauthorized access, burglary, vandalism or other property related crimes. Furthermore, the processing is also carried out for the purpose of protecting the safety of our employees and visitors against external and work safety related threats.

If you are our employee or a visitor at the premises, we may process your personal data through inner area video devices installed at entry or exit points to secure areas, protected rooms and common areas. In case of a damage or security incident endangering the safety of animals, our employees or visitors, or our property and premises, we may process your personal data for the purposes of investigating the incident. We retain photos or video records containing personal data only for a period that is necessary to achieve the purposes for which personal data is processed. Photos or video records are generally stored between 1 to 12 months, depending on the purpose of processing and the premise location in question. In case of a damage or a security incident, we may store related photos or video records for a longer period in order to investigate the incident as well as to establish, exercise or defend legal claims.

Where necessary, we share your personal data with others. The recipient is the data controller for the processing of your personal data, unless we have stated otherwise.

In order to fulfil the purposes of the processing of your personal data, we share personal data with service providers that we have engaged. These service providers provide security services to us (such as guarding services and electronic security services, including video devices and system management handling). The service providers may only process your personal data for these purposes and in accordance with our instructions and not for their own purposes. We are the data controller for the processing of personal data that the service providers carry out on our behalf.
In certain cases we share, if necessary, your personal data with other recipients for certain purposes e.g. when fulfilling legal obligations or handling and defending legal claims.

We always strive to store and process personal data within the EU/EEA. However, some of our service providers may be located outside the EU/EEA and in such case personal data will be processed outside the EU/EEA. You have the right under certain circumstances to request that the processing of your personal data is restricted. If the processing of your personal data has been restricted we may only, besides storing the data, process your personal data with your consent, in order to establish, exercise or defend legal claims or to defend rights of others.
